Why this matters now

Where AI adoption usually stalls

Individual use doesn't become team practice

People get value from AI on their own, but nothing becomes a repeatable workflow the team can rely on.

No agreed list of what's worth doing

Ideas outnumber capacity, and without ranking by value, feasibility and risk, the easy work wins over the valuable work.

Nobody has defined who owns what

When an assistant can read and change CRM records, ownership, permissions and approved updates have to be explicit — not assumed.

Interfaces get treated as interchangeable

Claude, ChatGPT and Copilot don't support identical actions against HubSpot. Capabilities and object coverage need verifying, not assuming.

Success was never defined

Without a baseline and acceptance criteria agreed before building, nobody can say whether the workflow actually helped.

Adoption fades after launch

Without training, a named owner and someone maintaining the playbooks, workflows quietly fall out of use.

Overview

What you get

Most companies already have people using AI individually. The gap is turning that into workflows a team can depend on. This program closes it: discovery looks at the whole business, implementation starts with one focused process where results can actually be measured, and the ongoing partnership keeps it working. HubSpot stays the core CRM foundation for customer records and agreed processes — your people may work directly in HubSpot, or use Claude, ChatGPT or Microsoft 365 Copilot as their conversational interface. We design around the tools your teams already prefer and the actions each connection genuinely supports.

How it works

A clear, repeatable process

01

Discover and prioritize

We connect leadership priorities with the work employees actually do — interviews and workflow walkthroughs that surface bottlenecks, repetitive tasks, handoffs and decisions AI could help with. The roadmap has standalone value: it doesn't require committing to implementation.

02

Implement and prove value

We design and test one selected workflow with its business owner and users, choosing the right mix of existing tools, reusable instructions, knowledge resources, integrations, automation and agents. Success is defined before we build.

03

Evaluate honestly

We measure against the agreed baseline — completion time, output quality, correction rate, handoff completeness, adoption and operating cost, with human review time included. The decision to expand, revise or stop follows the evidence.

04

Operate and improve

The ongoing partnership maintains supported workflows and runs a prioritized improvement program: refining instructions, handling exceptions, training people, and refreshing the roadmap as priorities move.

Outcomes

What changes for you

A ranked view of where AI is actually worth applying in your business

At least one workflow your team depends on, with evidence it works

Explicit ownership: which system owns each record, and what may be read or changed

Playbooks, documentation and a named owner, so the capability survives handover

Frequently asked questions

What does the program cover?

Three connected areas: HubSpot-native AI (assessing and configuring Breeze assistants, agents and agent-building alongside your existing workflows), external AI interfaces (using approved HubSpot connections from Claude, ChatGPT or Microsoft 365 Copilot with reusable playbooks grounded in CRM data), and work across systems (connecting customer processes with relevant documents and business systems, with ownership and approved updates kept explicit).

Which AI tools do you support?

HubSpot's own Breeze capabilities, plus Claude, ChatGPT and Microsoft 365 Copilot as conversational interfaces. We design around what your teams already use. We don't treat them as interchangeable — capabilities, subscriptions, object coverage, permissions and scheduling support are verified during discovery.

Do we have to commit to implementation after discovery?

No. Discovery is a fixed-fee engagement and the roadmap has standalone value. If you want to take it in-house or stop there, that's a legitimate outcome.

How is it priced?

Discovery is a fixed fee based on breadth. Implementation is priced separately once scope and acceptance criteria are agreed. The ongoing partnership is a monthly fee reflecting supported workflows, delivery capacity, complexity and service expectations. Software subscriptions, model usage and third-party services are identified separately.

What do you need from us?

An executive sponsor, an internal process owner, appropriate access, timely feedback, and decisions about permissions and business actions. Engagements without a named sponsor and process owner tend not to produce workflows anyone adopts.

How do you measure whether it worked?

We define success before building. Measures may include completion time, output quality, correction rate, handoff completeness, employee adoption and operating cost — and we include human review time in the evaluation, since a faster draft that needs heavy correction isn't an improvement.

What's explicitly not included?

Extensive data cleanup, major custom applications and round-the-clock support are included only when expressly scoped. Software subscriptions, model usage and third-party services are identified separately from our fee.

Who owns the work afterwards?

Your business accounts stay under your control throughout. Client-specific configurations and documentation are handed over so you can run it internally or move it elsewhere. Any reusable materials of ours, and their usage rights, are identified in the agreement.
