ChatGPT + HubSpot: pipeline review to prepared follow-up
A three-prompt sales workflow for the HubSpot connector in ChatGPT: find the deals that need attention this week, brief yourself on one of them, then log the next step back into HubSpot with approval.
When to use it
Monday morning, full pipeline, several meetings ahead. You want a short, evidence-based work list instead of scrolling deal views, a meeting brief built from what your team already logged, and the next action recorded in HubSpot without leaving the conversation. Requires the official HubSpot app connected in ChatGPT with read access to deals and activities; the third prompt also needs permission to create tasks.
Prompt 1: find the deals that need attention
Give it a pipeline, a close-date window and a clear definition of neglect. Asking for record links and a count of records checked is what makes the answer checkable: open one cited deal and compare its fields before you trust the list.
Using the HubSpot connector, review open deals in [PIPELINE] due to close between [START DATE] and [END DATE]. Find deals with no logged activity in the past 14 days or a missing next step. Show up to five, sorted by close date, with owner, amount and currency, close date, last activity date, next step, and a record link for each. Explain the priority using only those facts. State how many records you checked and any retrieval limits you hit. If fewer than five deals match, say so rather than padding the list. Make no changes to HubSpot.
Prompt 2: brief yourself on one deal
Pick one account from the list and ask for continuity: what was promised, what the customer said their priorities were, what is still open. Keeping confirmed facts separate from gaps is the difference between a brief and a guess.
For [COMPANY] and the deal [DEAL NAME], prepare a short sales meeting brief using the HubSpot records and logged activity from the last 90 days that you can access. Include: the people involved and their roles where recorded, documented goals, open questions, commitments made by either side, and three questions to ask in the next conversation. Link to the evidence for each point. Put confirmed facts and missing information under separate headings. Then draft a short follow-up email in this chat that references something specific from the history. Do not send anything or change any records.
Prompt 3: put the next step back into HubSpot
Set the connector to ask before making changes. Check the owner, the due date and the deal association in the proposal, approve it, then open the saved task in HubSpot to confirm.
Prepare one HubSpot task for the deal [DEAL NAME]. Subject: [SUBJECT, e.g. Confirm implementation requirements before the proposal]. Owner: [OWNER NAME]. Due: [DATE AND TIME, WITH TIME ZONE]. Associate it with this deal. Show me the full proposed task for review and wait for my approval before creating it. After creating it, return the task link.
How to use it
- 1Connect the official HubSpot app in ChatGPT (your HubSpot Super Admin approves the access) and set it to ask before making changes.
- 2Run prompt 1 with your real pipeline name and date window. Open one cited deal and compare the fields before acting on the list.
- 3Run prompt 2 for one deal from the list. Check the brief against a source, then use the draft email as a starting point, not a final version.
- 4Run prompt 3, review the proposed task, approve it, and open the saved task in HubSpot.
Tips
- Name the pipeline and give a date window every time. Vague requests produce vague, unverifiable lists.
- The ranking is only as good as the criteria you supplied. Treat it as a work list to review, not a verdict.
- An email logged as an activity is not an email sent. Keep sending in your own hands.
- If a newer capability is missing, your admin may need to approve additional permissions; reconnect afterwards.
